Refunds, deposits, and missed observation days

These rules apply to quoted engagements for TAT reporting cycles, bench views, QC sessions, and backlog reviews.

Eligibility and timeframe

Ask for a refund in writing to hello@panel-foresthub.click within fourteen days of the invoice date, or before the first observation day, whichever is earlier.

Full refund

A full refund applies if we cancel for our own staffing reasons, or if you cancel in writing at least seven days before the first booked observation day and we have not yet spent a day on-site.

Partial refund

If observation has begun, fees for completed days and written drafts already delivered are kept. Unused remaining days may be refunded minus a twenty percent administration amount.

Non-refundable items

Printed huddle boards already produced, laminated legends, and travel already purchased for provinces outside Ho Chi Minh City are non-refundable.

Process and method

We confirm the amount in writing, then return funds by the same bank transfer used to pay, within fifteen working days after approval.

Cancellation and rescheduling

You may move an observation day once without fee if you give three working days’ notice and the laboratory can host the new date. Further moves may be quoted as extra days.

Deposits

A deposit of thirty percent holds dates. It is applied to the final invoice. It is forfeited on a no-show without notice.

No-shows

If the chaperone is absent and we cannot enter the laboratory, the booked half-day is charged.

Work already started

Draft TAT definitions and timed counts already taken remain billable even if the laboratory later pauses the cycle.

Exceptions

Hospital lockdowns that close the laboratory for more than five consecutive days allow a free reschedule rather than a forfeiture, provided you write within a week of reopening.
